Overview
A Smart Filter is a subscriber classification tool that lets you target subscribers, or groups of subscribers, using specific conditions. Conditions can be combined with subscriber status and other requirements to control exactly who receives a campaign. Smart Filters are useful whenever you need to reach a defined group of subscribers, such as those in a particular market segment, region, or engagement level.
Accessing Smart Filters:
To open the Smart Filter builder:
- Select Subscribers on the Dashboard.
- Select Filters.
- Select Create Smart Filter.
Editing an Existing Smart Filter:
To edit a Smart Filter that has already been created:
- Under Filters, select the existing Smart Filter from the list. The subscriber list updates to show everyone who currently matches that filter.
- Select the green pencil icon next to the filter's name. This opens the Smart Filter builder for that filter.
- Update the filter's name or subscriber fields as needed.
- Select Save Filter to update the original, or Save As to keep the original and create a new version.
Note: Use Save As if you want to keep the original Smart Filter unchanged and create a new version based on it.
How to Create a Smart Filter:
Every Smart Filter is built using one of two views: Grid View or Advanced Filters. Both views affect how the Smart Filter behaves, and fields chosen in one view carry across to the other.
Grid View:
Grid View offers a set of pre-existing filters that can be switched on individually or in combination to target subscribers who match them. Each field in Grid View is separated by an implicit Or condition, meaning a subscriber only needs to match one of the selected fields to be included.
Advanced Filters:
The Advanced Filters view gives more granular control. Filter types can be combined using And and Or logic (see below), and can be removed individually by selecting the red X to the left of the field.
Fields turned on in Grid View automatically appear as options in Advanced Filters, which makes it easier to start broad and then refine.
Combining Conditions: And vs Or:
- And — a subscriber must match every field connected by And to be included. For example, combining Subscriber Status, Agent is [X], and Group is [Y] with And only includes subscribers who meet all three conditions.
- Or — a subscriber only needs to match one of the fields connected by Or to be included. For example, changing the same three conditions to use Or between the Agent and Group fields would include subscribers who are either assigned to that agent or belong to that group.
Once your conditions are set, select Save Filter and give the filter a name to make it available for future use, including when sending campaigns.
Grid View Filter Options:

| Active Subscribers | Subscribers who have opened at least one campaign in the past 90 days. |
| Potential Leads | Subscribers who have clicked on at least one campaign in the past 90 days. |
| Property Preference Match On Email | Subscribers whose property preferences match the properties featured in the email. |
| Subscriber Enquired/Viewed Property Lookalike | Subscribers who have viewed properties similar to those featured in the email, in the past 90 days. |
Advanced Filters: Filter Categories:

| Dates | When subscribers were updated, subscribed, or unsubscribed. |
| Subscriber Profile | Information from the subscriber's account and connected CRM data, including preferences, favourite suburbs, interest level, and property match. |
| Interactions | Subscriber interactions with emails and automations, including opens, clicks, appraisals, and CTA interactions. |
| Property Matches & Interactions | Matches subscriber preferences against a specific property; useful for targeting subscribers likely to be interested in that property. |
| CRM Data Filters | Filters based only on CRM data, such as listing type or price range preferences submitted by the subscriber. |
Filter Operators and Values:
Each Advanced Filter condition uses three parts: the filter category (described above), an operator, and a value.
Common operators include:
- is / isn't
- is any of / is none of
- contains / does not contain
- is empty
- did / did not
- A range bar, for prices and distances
- Choose property, for property-specific filters
An additional operator, is only, is available specifically on the Agent filter — see Shared Contacts and the “Is Only” Filter below.
The value field lets you select the specific agent, property, property preference detail, email, or name the filter should apply to.
Testing and Applying a Smart Filter:
Once your Smart Filter conditions are set, use one of the following options:
- Test Filter — shows a count of subscribers who currently match the Smart Filter, without leaving the builder.
- Filter Subscribers — closes the builder and filters your subscriber list to show everyone who matches. From here, you can work directly with those subscribers using bulk actions.
When you're finished, select Save Filter and give it a name. Saved Smart Filters are available again from the Filters section, and can be used when sending campaigns.
Other Uses for Smart Filters:
Smart Filters aren't only for sending campaigns. They can also be used to segment subscribers for review, such as identifying potential buyers in a specific region. Once filtered, you can:
- Send a campaign directly to the filtered subscribers, or
- Export the filtered list as a CSV using the CSV option in the top right corner.
Shared Contacts and the “Is Only” Filter:
When a Smart Filter uses the Agent filter, it includes any subscriber assigned to that agent, whether as a primary or secondary agent. If your office uses Shared Contacts (subscribers assigned to more than one agent), this can pull in more subscribers than intended.
To avoid this, use the is only operator instead of is on the Agent filter. Is only limits results to subscribers who are assigned solely to that agent, excluding anyone who is also assigned to another agent.
Note: If your office uses Shared Contacts, use is only rather than is on Agent filters to avoid sending to subscribers shared with other agents.
Property Preference Match:
Property Preference Match uses a subscriber's account activity and the preferences they've provided (either directly in iRealty or via your connected CRM) to build a property preference profile for that subscriber. Adding Property Preference Match to a Smart Filter changes how the filter behaves, because it compares subscribers against the properties actually featured in the campaign, rather than a fixed value.
There are four types of Property Preference Match, and up to four can be active in a single Smart Filter at once:
- Preferred Features — matches on the amenities a subscriber has set as a preference.
- Preferred Type — matches on property type, such as townhouse, residential, or rural.
- Preferred Price — matches subscribers whose stated minimum–maximum price range overlaps with the property's price.
- Preferred Suburb — matches subscribers who have looked at other properties in that suburb.
